Isn't there a mail system in place in SA to transport anything outside of text messages from oneplace to another? And if so: how does it work?

Yes, Star Army ships function as mail carriers (and sometimes police) in addition to the military. Mail offices are common throughout Yamatai Empire space. Star Army ships transport items for free as available, and can also provide paid services for express mail or for transporting large items.

I've created an article for the Star Army Post Office that may be helpful. Mail is transported by Star Army Logistics in the same way that other supplies like ballpoint pens, ammo boxes, and water jugs are.
